Automate Before You Hire
Before adding headcount to keep up with admin, check which of that work a system could do instead. A simple way to find the tasks worth automating first.

AUTOMATIONOPERATIONSWhen a team starts falling behind, the instinct is to hire. Sometimes that's the right call. But often a good share of the extra workload is the same handful of tasks repeated every day: copying details from one system to another, chasing paperwork, rebuilding the same report every week.
Hiring someone to do that work adds cost without fixing the underlying problem. Automating it frees up the people you already have.
Where the hours usually go
In most small and medium businesses, the time sinks look familiar:
- Copying customer or job details between a CRM, spreadsheets and the accounting system
- Chasing customers for documents, signatures or payments
- Building the same report by hand every Monday
- Sending the same follow-up emails after every enquiry or job
- Re-keying data from PDFs, forms or emails
None of these need judgement. They need to be done correctly and on time, which is exactly what software is good at.
A simple test
You don't need a big project to find where to start. Spend a week noting down tasks that meet all three of these:
- The steps are the same every time. If someone could write the process on one page, it's a candidate.
- It happens often. Daily or weekly tasks add up far faster than monthly ones.
- Mistakes are costly. Typos in invoices, missed follow-ups and out-of-date reports all have a price.
Rank what you find by hours per month, then start with the task that is both frequent and error-prone. One well-chosen automation usually pays for itself quickly and builds the confidence to do the next.
What automation shouldn't do
Automation should free people for work that needs judgement, not replace the judgement itself.
Keep people in the loop where decisions matter: approving quotes, handling complaints, deciding priorities. The goal is a team that spends its time on customers and growth, not on copy and paste.
Where to start
If you already know which task is eating your week, that's the place to begin. If you're not sure, a short conversation is usually enough to spot the obvious wins.
